Why General EMR Software Fails IVF Clinics

General clinic EMR software tracks appointments, consultations, and invoices. IVF clinics do all of that — and then some. A single IVF cycle generates data that no appointment-based system was designed to hold: daily follicle measurements per ovary, hormone levels by monitoring day, embryo grades per Gardner/Istanbul scale, cryopreservation records to the individual straw, nine mandatory ICMR-compliant documents, package billing with milestone triggers, and nine NABH quality indicators calculated from all of the above.

Follicle monitoringDaily measurements per ovary — no generic EMR has structured follicle fields. Clinics resort to WhatsApp voice notes or paper charts.
Embryology gradingDay 3 and Day 5 Gardner/Istanbul grades per embryo — generic EMR has no concept of an embryo, let alone a cohort across active cycles.
Cryo inventoryTank → canister → straw chain of custody — most labs track this in a physical notebook, if at all.
NABH 9 KPIsNine mandatory fertility quality indicators — compiled manually at quarter-end by pulling data from OPU registers, embryology logs, and billing sheets.
9 ICMR documentsEach cycle requires nine standardised documents — most clinics generate these one by one in Word or a PDF tool.
Package billingAdvance + milestone charges + refund computation — generic billing software does not understand cycle-based billing logic.
WhatsApp consentDigital consent with a hash-protected audit trail — paper forms have no tamper detection and can be lost.

CuraVerto collapses all seven shadow tools into one platform — replacing the WATI tab, the Excel embryology log, the cryo notebook, the PDF tool, the paper consent folder, the billing spreadsheet, and the WhatsApp group with a single structured record per cycle.

Built for IVF & Fertility — not bolted on

Every feature below is live and available today. No roadmap promises.

IVF Cycle Management
Each IVF cycle is its own structured record — not an appointment, not a consultation note. Track stimulation protocol, monitoring visits, trigger, OPU, fertilisation, embryo culture, transfer, and luteal phase on a single timeline. Every milestone timestamped and attributed to the responsible staff member. Immutable history that multiple staff can contribute to without overwriting each other.
Embryology Grading (Gardner/Istanbul)
Day 3 cleavage grading and Day 5/6 blastocyst grading using the Gardner/Istanbul consensus classification — per embryo, per cycle. ICSI vs. conventional IVF differentiated at the cycle level. The embryologist dashboard shows all active cycles side by side. OPU yield, fertilisation check, and culture notes all in one place. No parallel Excel log.
Cryo Inventory (Tank → Canister → Straw)
Every frozen straw tracked to its exact position: tank, canister, goblet, and status — frozen, awaiting transfer, thawed, transferred, or discarded. Cryo storage certificate auto-generated on creation and sent to the couple via WhatsApp. Storage renewal reminders sent automatically as the anniversary date approaches. No straw ever unaccounted for.
Follicle Monitoring (Structured Data)
Each monitoring visit captures follicle count and size per ovary (right and left, individually measured), endometrial thickness, and hormone levels — estradiol (E2), LH, and progesterone (P4) — as structured data fields, not free text. Monitoring history displayed as a day-by-day timeline. Trigger timing decisions made from the same screen, not a separate spreadsheet.
NABH 9 Fertility KPIs
OPU rate, mature oocyte rate, fertilisation rate, cleavage rate, blastocyst rate, transfer rate, clinical pregnancy rate (CPR), implantation rate, and live birth rate — all computed automatically from structured cycle data. No manual compilation at quarter-end. Exportable in PDF or Excel for NABH assessments in one click.
Advance Ledger & Package Billing
Package-based IVF billing with cycle-start advance, milestone-triggered charges, IAR receipts, and automatic refund computation for cancelled cycles. GST calculated per line item. Outstanding balances visible on the clinic dashboard at all times. No separate billing spreadsheet.
9 Auto-Generated ICMR Documents
Advance Receipt, Cycle Statement, Refund Letter, Plan Acceptance, Cycle Summary, Embryology Report, Semen Analysis, Monitoring Sheet, and Cryo Manifest — all generated in one click. ICMR-compliant, clinic-branded, and deliverable via WhatsApp or print. No PDF tool, no manual formatting, no missing fields.
WhatsApp Consent Flow
Send the treatment plan to the couple via WhatsApp. Patient reviews milestones and costs, taps Accept. Consent is timestamped, SHA-256 hash-protected, and permanently linked to the cycle record. Cannot be altered after signing. Legally defensible and paper-free — unlike a signed paper form that can be lost or backdated.

What CuraVerto's IVF Module Covers

Every section below reflects how the module actually works — not a feature checklist. See how each part of the IVF workflow maps to a structured record in CuraVerto.

Cycle Builder

The IVF cycle in CuraVerto begins with a structured cycle record — not an appointment, not a consultation note. Each cycle carries a protocol (antagonist, long agonist, mini-IVF, natural FET), a start date, and a set of milestone stages: stimulation phase, trigger injection, ovum pickup (OPU), fertilisation check, embryo culture, transfer, and luteal phase follow-up. Each milestone is timestamped, attributed to a staff member, and immutable once saved. Multiple staff — the consulting gynaecologist, the embryologist, the nurse — contribute to different stages of the same record without overwriting each other. The complete cycle timeline is visible from the patient record at any point during or after the cycle.

Monitoring Sessions (Follicle Counts + Hormone Levels)

During ovarian stimulation, patients return every 1–3 days for follicle monitoring. Each monitoring session in CuraVerto captures: follicle count and individual sizes per ovary (right and left measured separately), endometrial thickness, and hormone levels — estradiol (E2), LH, and progesterone (P4) — as structured data fields, not free-text notes. The monitoring history is displayed as a day-by-day timeline across the stimulation phase, so the clinician sees the full follicle growth trajectory at a glance. Trigger timing decisions are made from the same screen — there is no need to switch between the EMR and an Excel spreadsheet or photograph a paper monitoring chart and send it on WhatsApp.

Embryology Grading (Day 3 and Day 5, Gardner Scale)

CuraVerto's embryology module is built around the embryologist's workflow, not the doctor's. OPU yield — total eggs retrieved and number of mature MII oocytes — is entered on OPU day. Fertilisation check (2PN confirmation) is entered the following morning. Day 3 cleavage grading and Day 5/6 blastocyst grading use the Gardner/Istanbul consensus classification — each embryo receives a structured grade (e.g., 4AA, 3BB, 2BC) with optional per-embryo clinical notes. The embryologist dashboard shows the full cohort across all active cycles side by side. ICSI vs. conventional IVF fertilisation is differentiated at the cycle level. There is no parallel Excel sheet, no handwritten embryology log — every grade is structured and permanently linked to the cycle record.

Cryo Inventory Management (Tank → Canister → Straw)

Every frozen straw in CuraVerto is a tracked entity with a complete chain of custody: patient identity, cycle date, straw type (embryo, oocyte, or sperm), tank ID, canister and goblet position, and status — frozen, awaiting transfer, thawed, transferred, or discarded. When a straw is created, the cryo storage certificate is auto-generated and delivered to the couple via WhatsApp. When a straw is used, its status updates and the corresponding billing record triggers automatically. Storage renewal reminders are sent to the couple via WhatsApp as the anniversary date approaches — ensuring no straw is abandoned in an unmarked goblet or quietly discarded without documentation. This level of granularity replaces the physical cryo notebook that most IVF labs still maintain alongside their EMR.

Outcome Analytics (CPR, Fertilisation Rate, Cancellation Rate)

At the end of each IVF cycle, CuraVerto automatically computes the nine NABH-mandated fertility quality indicators from the structured data entered during the cycle: oocyte retrieval rate, mature oocyte rate, fertilisation rate, cleavage rate, blastocyst rate, embryo transfer rate, clinical pregnancy rate (CPR), implantation rate, and live birth rate. These are not manually compiled. They are calculated from the cycle data that already exists in the system and displayed on the NABH KPI dashboard in real time. Exportable in PDF or Excel for NABH assessments, internal quality reviews, or board presentations. When an accreditation auditor requests outcome data for the past 12 months, it takes one click — not a week of Excel work.

9 Auto-Generated Documents Per Cycle

A single IVF cycle in CuraVerto generates nine documents on demand, each ICMR-compliant and clinic-branded: (1) Advance Receipt — for the cycle package payment collected at cycle start; (2) Cycle Statement — itemised charges as milestones are completed; (3) Refund Letter — computed automatically for cancelled cycles based on the advance ledger; (4) Plan Acceptance Form — signed digitally by the couple via WhatsApp consent; (5) Cycle Summary — clinical narrative of the full cycle from stimulation to outcome; (6) Embryology Report — grading and culture results per embryo; (7) Semen Analysis Report; (8) Monitoring Sheet — all follicle and hormone data from the stimulation phase in a single printable format; (9) Cryo Manifest — chain of custody for all stored straws from this cycle. Each document is generated in one click and can be printed, downloaded, or delivered directly to the couple's WhatsApp. No PDF tool, no manual formatting, no missing mandatory fields.

WhatsApp Consent Flow

The IVF consent process in CuraVerto removes paper from what is otherwise a legally fraught step. The clinic builds a treatment plan — detailing the protocol, estimated costs, and cycle milestones — and sends it to the couple via WhatsApp as a secure link. The patient opens the link, reviews the plan, and taps Accept. The acceptance is timestamped, linked to the cycle record, and locked — it cannot be altered after the patient signs. The SHA-256 hash chain ensures the consent record cannot be tampered with after signing, providing medicolegal protection that a signed paper form — which can be lost, damaged, or later disputed — cannot match. The accepted plan is permanently linked to the cycle for the lifetime of the patient record and accessible in any future dispute or audit.

How CuraVerto Compares to General EMR for IVF

Generic EMR software is built around appointments. IVF is built around cycles. That gap explains why most fertility clinics manage IVF data across a patchwork of tools — even when they already have an EMR. See also: CuraVerto vs Clinicea and IVF clinic software cost in India.

Implementation: How Long Does It Take?

CuraVerto is web-based — there is nothing to install on any machine in the clinic. Setup takes one working day. The embryology workstation, OPU theatre tablet, and front-desk PC all use the same web app with role-based access. Training for embryologists, doctors, nurses, and front desk is included. Existing patient data can be migrated from Excel or a previous EMR system. The clinic can run in parallel during the transition — there is no forced cutover date.

The IVF module is available on the Pro and Plus plans. Contact sales@curaverto.com for current IVF add-on pricing and to book a live walkthrough of the full cycle workflow.
