Searching for clinic reminder software brings up three different kinds of product under one name. A standalone reminder tool sends messages from a list. An AI front desk answers calls and messages and may book for the clinic. And some clinic systems send reminders as part of the appointment book itself. They are priced differently and fail differently, so compare them on one question: what does each one know about the appointment it is reminding a patient about?
| Question | Standalone reminder tool | AI front desk | Built into the clinic system |
|---|---|---|---|
| Where the appointment list lives | Your clinic software, with a copy loaded into the tool | Your clinic software, or a copy the bot reads | The same system that sends the reminder |
| What it knows about the slot | The date, time and name it was given | Whatever the connection exposes | The live appointment record |
| When a patient asks to reschedule | The reply lands in the tool; someone moves the slot | Works only if the bot can read and write your diary | The slot changes in the book the front desk uses |
| Payment and follow-up | Usually unknown to it | Only what is connected | Whatever the system itself holds |
| Cost shape | Subscription plus per-message charges | Set by the vendor; ask in writing | Part of the system's plan plus per-message usage |
A standalone tool, or a general WhatsApp platform such as WATI, sends messages from a contact list or a feed. A general platform is built to work alongside whatever software a business already runs. That is its strength and, for a clinic, its catch: the appointment book lives somewhere else, and a person or a connection has to carry it across. When a patient replies that they need to reschedule, the reply arrives in the tool and someone has to move the slot in the diary.
On price, WATI's own pricing page, read from India on 11 October 2026, lists its Growth plan at ₹2,199 to ₹2,999 a month and its Pro plan at ₹4,899 to ₹6,499, depending on billing period, with template messages charged per message on top. A WhatsApp number can also be connected to one API platform at a time, so adding a second tool usually means a second number.
AI front desk products are sold on answering: they pick up calls and reply to messages, and some book appointments. We have not tested any of them, and each vendor's claims are for that vendor to demonstrate, so this section is about the category, not a product.
Ask what the bot reads when a patient says "is the doctor free on Thursday" or "do I owe anything from last time". A bot can answer only from the diary, bills and follow-up dates it can see. If it works from a copy or a feed it is as current as the last sync, and anything outside the feed is invisible to it: a part payment, a follow-up set yesterday, a patient who withdrew consent for reminders. A bot that is part of the clinic system does not have that gap, which is the case for option 3. It is not a case that a bot cannot be useful. Ask for a demonstration on your own diary with an awkward case, such as a patient who paid in advance and wants to cancel.
CuraVerto sends reminders from the appointment record itself. The reminder engine reads the clinic's booked and confirmed appointments directly and holds no second list. By default it asks the patient to confirm 24 hours before the visit, sends a short nudge 30 minutes before to patients who have not confirmed, and sends a join link for video consultations. A clinic can switch reminders off or set its own timings in its automation settings.
The patient's tap changes the appointment. In CuraVerto, confirm marks it confirmed. Cancel cancels it, and if the appointment was prepaid CuraVerto starts a refund to the original payment. Reschedule cancels the original slot so it is free again and opens a booking conversation on WhatsApp for the same doctor and service, with the payment carried to the new appointment. A patient who has withdrawn consent for reminders, or whose record is marked not contactable, is skipped, and cancelled appointments are not reminded.
There are limits. CuraVerto's reminder wording is fixed English text today, and a reminder is not a way to ask a clinical question: a message that needs a person lands in the clinic's inbox, and the bot does not judge urgency. The hand-off post linked below sets out where that line sits.
A standalone tool is sound when the clinic is content with its records system and wants messaging only, when that system already exports a reliable daily list, or when the clinic is mid-contract on software it cannot leave this year. Then the cost of switching exceeds the cost of one extra step. Watch who carries the list across each day, and what happens when two people change the same appointment.
Reminders are part of CuraVerto's Appointments module, so there is no separate reminder fee on top of the plan. Essential is ₹9,999 a year for one doctor and one branch. Pro is ₹24,999 a year with one branch included, and Plus is ₹49,999 a year with three branches included. Each additional branch is ₹9,999 a year. All prices exclude GST. The WhatsApp templates are metered from the clinic wallet at ₹0.15 per utility message: a flat published rate, with no platform fee and no seat fee. WhatsApp changed its pricing for service and utility messages on 1 October 2026, so check the current rates on the pricing page rather than relying on an older figure.
As arithmetic, not a promise: 20 appointments a day over 26 days is 520 a month. If CuraVerto sent every one both the confirmation ask and the nudge as templates, that is 1,040 messages, or ₹156 at ₹0.15. In practice it is fewer: a patient who confirms is not nudged, and a patient who has just messaged the clinic gets the confirmation ask as a free-form interactive message. Your own volumes will differ.
Most pages on this topic open with a percentage. We have not found a source for any of those figures, and we do not quote one. How far a reminder moves your no-show count depends on your patients, your specialty, how far ahead people book and whether they pay in advance. The number that matters is your own: count a month of appointments as completed, cancelled in advance or never attended, switch reminders on, then count the next month the same way. More advance cancellations alongside fewer unannounced no-shows is the pattern to look for, because those slots can be offered to someone else.
Usually not. A reminder sent from the clinic system reads the live appointment record, so a confirmation, cancellation or reschedule updates the diary the front desk works from. A separate tool makes sense mainly when a clinic is staying on records software that has no reminders. CuraVerto sends reminders from the appointment record itself, as part of the Appointments module from the Essential plan.
Reminder software sends messages about appointments that already exist. An AI front desk answers calls and messages and may book for the clinic. The practical difference is what each can read: a bot is only as informed as the diary, bills and follow-ups connected to it. CuraVerto's reminders and WhatsApp booking bot read the same appointment records the front desk uses.
CuraVerto has no separate reminder fee. Reminders are part of the Appointments module from the Essential plan at ₹9,999 a year excluding GST, and the WhatsApp reminder templates are metered from the clinic wallet at ₹0.15 per message. WhatsApp changed its pricing for service and utility messages on 1 October 2026, so check the current rates on the pricing page.
No one can promise a fixed percentage across clinics, and CuraVerto does not quote one. A reminder gives the patient a one-tap way to confirm, cancel or reschedule and gives the clinic earlier notice, so some empty slots can be offered to someone else. Count your own no-shows for a month before and after.
Not at the same time. A WhatsApp number can be connected to one API platform at a time, so running both means separate numbers during a transition. CuraVerto's comparison with WATI sets out the practical options.
Walk through a booking, a reminder, a reschedule and a prepaid cancellation on a demo clinic, then ask your current tool to handle the same four cases.
