One Phone, Many Patients: Keeping Household Records Separate at the Front Desk

In many Indian households the clinic's only reliable contact for a child, or for a grandparent without a smartphone, is an adult family member's phone number. That is not a data quality problem to be fixed. It is how families work. The question for a clinic is how to let one number serve several people without ever letting their medical records blur together.

We have already described how a family number books through the WhatsApp bot in the post linked at the end. This one is about the desk side: what the reception team actually does when a household arrives, and how the record stays clean over the following years.

The three ways a shared number goes wrong

Merged records
The second person to arrive on a number is registered into the first person's file. The child's allergy list now sits in the mother's chart. It is quick at the desk and wrong for the record.
Duplicate records
Because a number already exists, staff or the system decline to register a new person on it, so people end up registered with a made-up or blank number, and reminders reach nobody.
A silent guess
Reminders, a prescription or a bill go to the number, and nobody can tell from the thread whom they were about.

How Family Profiles is structured in CuraVerto

Each member remains their own patient with their own visits, notes and prescriptions. The group adds three things on top: the set of members, one primary contact, and the phone numbers that belong to the household.

  • Start a group from a patient profile. The patient you start from becomes the primary contact, and their phone number is registered to the group in the same step, so a group is never created half-formed.
  • Add a member in one of two ways: link an existing patient by searching for them, or create a new person by name, with optional date of birth, gender and blood group. Each member is given a relationship to the current patient, chosen from a list that includes spouse, child, parent, sibling, grandparent, grandchild, guardian and other.
  • Register additional numbers. A number can be tied to a particular member, or kept as a household-level number, for example a landline or a second SIM that no single person owns.
  • Change a member's relationship later if it was entered wrongly.

The guardrails that protect the record

CuraVerto enforces several rules so a rushed desk cannot create the failures above. A phone number can belong to only one family group in a clinic, so adding a number that is already registered elsewhere is refused with a message saying so, instead of quietly creating a second claim on it. A group must always keep at least one phone number, and the last number cannot be removed. The primary contact cannot be removed while other members remain: someone else must be made primary first, or the group dissolved.

Every one of these actions is scoped to the clinic. A group, a member or a number that belongs to another clinic cannot be read or changed, and a link to a patient who is not in the group is refused.

Undoing a mistake without touching anyone's history

Removing a member from a group, or dissolving the whole group, does not delete any patient record. Each person reverts to being a standalone patient with their visits, notes and prescriptions intact. Group-level numbers stay with the group when a member leaves. For a front desk, that matters more than any convenience feature, because it means a wrong grouping is a cheap mistake rather than a data-loss event.

What the household looks like to the patient

When a number linked to a household messages CuraVerto's WhatsApp booking bot, the bot asks who the appointment is for whenever the group has more than one member. That step is never skipped, because the choice of patient is a clinical decision, not a formality. Once a member is selected, the appointment attaches to that person's own record.

Who is affected most

Paediatric and family practices
Every child is registered against a parent's number. Grouping the child under the parent lets reception see the whole household at once without ever mixing the charts.
Clinics with elderly patients
A grandparent may have no smartphone, so their reminders go to a son or daughter. Registering the grandparent as their own patient, linked to that household, keeps the reminder route and the medical record separate.
Couples who book together
Two adults on one number remain two patients. Each gets their own prescriptions and bills, which matters for insurance and for anything that follows the individual, such as allergies.

The common thread is that the phone number is a route for messages, while the patient record is a clinical fact. A desk routine that works

  • Search by name and phone before registering anyone new, and link an existing patient rather than re-creating them.
  • Register a child under their own name and link them to the parent, choosing the relationship at the time.
  • Add a landline or a second number as a household number when it belongs to the family rather than one person.
  • Review the primary contact when a parent changes their number, before removing the old one.
  • If two people were grouped by mistake, remove the member rather than editing either record.
