From Instagram Ad to Booked Appointment: Clinic Lead Management in India

Running a Meta or Instagram ad for a clinic is the easy part. The harder part is what happens afterwards. An enquiry arrives on WhatsApp in the evening, or a lead form is filled at midnight, and the clinic's front desk sees it the next morning among forty other threads. The patient who was comparing two clinics has by then heard from one of them.

This post is about that gap: what a clinic needs in place between an ad click and a booked appointment, and which of those steps CuraVerto handles. It does not quote conversion rates, because those depend on your specialty, your city and your creative, and any number offered without your data would be invented.

The four leaks between an ad and an appointment

Leak 1: The slow first reply
Enquiries that arrive after hours wait for the front desk. Speed of the first reply is one of the few things a clinic fully controls.
Leak 2: The undifferentiated inbox
A patient ready to book and a patient idly comparing prices look identical in a chat list, so both wait in the same queue.
Leak 3: No follow-up
A lead that goes quiet is rarely chased. There is no record that it existed, so nobody notices it was lost.
Leak 4: No source of truth
Leads sit in a spreadsheet, a notebook and a chat app. Nobody can say which ad or channel actually produced a patient, so spend follows guesses.

Step 1: Capture from both doors, Click-to-WhatsApp and lead forms

Ad-driven enquiries reach a clinic two ways. The first is a Click-to-WhatsApp ad, where the patient taps the ad and lands in a chat with your number. When that first message arrives, CuraVerto reads the ad referral details Meta attaches to it and stores them on the lead once, at creation: the platform (Instagram or Facebook), the ad or post identifier, the headline and the link. The second is a Meta lead form. CuraVerto has a webhook that receives Meta's lead form submission, fetches the answers and the campaign name, and creates a lead record marked as coming from Meta ads. Standard fields such as name, phone and email are mapped automatically, and any custom question on your form is kept under the name Meta gave it.

Step 2: Reply and qualify immediately

For WhatsApp enquiries, CuraVerto's AI Lead Inbox responds straight away, holds a real conversation about the patient's question, and scores the lead Hot, Warm or Cold from intent and readiness. The reply does not wait for a staff member, so an enquiry at 9 PM gets an answer at 9 PM. Staff then open a prioritised list with a summary of each conversation, instead of scrolling every thread.

Step 3: Convert to a booking without retyping

A lead that is ready to book is converted into a booked appointment and a patient record from the same thread, so the front desk is not re-entering details into a second system. Returning patients are recognised as patients, not treated as new leads. Step 4: Follow up on leads that went quiet

Warm and cold leads that do not book get an automated follow-up on a schedule. By default the legacy sequence runs at Day 3, Day 7 and Day 21, and a clinic that builds its own triggers uses those instead. A lead that re-engages stops receiving the drip, so a patient who has already replied is not nagged. This is the step that recovers the lead that would otherwise disappear without a trace.

Step 5: See which ad or channel produced patients

Attribution closes the loop. CuraVerto groups leads by ad creative or by channel and follows them through to consultations, procedures and paid invoices, so you can see which creative produced a booked and paid patient rather than only a click. Where attribution is ambiguous, for instance an invoice with no linked service, it defaults to counting as a consultation rather than overstating procedure revenue. You still need enough volume in a period for the comparison to mean something, and a small campaign will not settle a debate on its own.

What to set up before you spend on ads

  • Point the ad at your clinic WhatsApp number or a Meta lead form, so every response lands in the same pipeline instead of a personal phone.
  • Decide who owns the Hot leads each morning, and agree how fast they are called back. Automated qualification helps only if a person acts on the result.
  • Write down the offer in the ad and make sure the automated reply does not contradict it, for example a health check package price.
  • Do not promise medical outcomes in an ad. Advertising rules for clinics are strict, and the enquiry reply should stay factual.
  • After a month, open the attribution view and look at booked and paid patients per creative, not clicks or messages.
