Flat Annual Pricing vs Per-Doctor Billing: What Changes at Renewal When Your Clinic Grows (India)

A solo clinic comparing software quotes today is usually comparing them at today's headcount. Per-doctor plans and flat annual plans can look almost identical at one doctor, which is exactly the point in the buying cycle where most clinics sign. The gap between the two models does not show up in that first quote. It shows up two renewals later, after the clinic has hired, because one model multiplies with every doctor added and the other does not. This is the math worked out for a clinic that starts solo and grows to four doctors over three years, using only published, checkable figures.

Why per-doctor pricing looks like the smarter deal when you are solo

For a single doctor just starting out, a per-doctor monthly plan and a flat annual plan can land close to each other. On a published per-doctor rate of ₹2,999 per doctor per month (the same figure CuraVerto's own Clinicea comparison uses, sourced from clinicea.com/pricing), one doctor for a year costs ₹35,988. CuraVerto's Essential tier is ₹9,999 a year, excluding GST, for exactly this profile: one doctor, one branch. At this stage the difference between the two pricing models is not visible, because there is only one seat on the bill.

This is exactly why per-doctor pricing sells well at signup. The clinic owner comparing headline numbers is comparing them at current headcount, not headcount three years out. The two models diverge from the moment the clinic hires its next doctor, which is usually well before the software's own renewal date.

What changes the moment you hire doctor number two

On a per-doctor plan, adding a second doctor does not wait for the annual renewal. The fee is charged per seat, per month, so the bill changes from the month that doctor starts seeing patients. Two doctors at ₹2,999 per doctor per month comes to ₹71,976 a year, roughly double what the clinic paid as a solo practice, for the same software doing the same job.

Why the gap keeps widening after year three

The trajectory above stops at four doctors, but the shape does not. Every doctor added after that adds roughly ₹35,988 a year to a per-doctor bill and nothing to CuraVerto Pro's, because Pro was already unlimited on doctors from the day the clinic upgraded off Essential.

Branches behave the same way. A clinic opening a second location does not multiply CuraVerto's fee by doctor count at each site: an additional branch on Pro or Plus is a flat ₹9,999 a year, regardless of how many doctors are based there. What to ask a per-doctor vendor before you sign

None of this makes per-doctor pricing dishonest. It made sense when the clinic was smaller, and it can still suit a practice that genuinely intends to stay a solo operation. The questions below are what actually surface the renewal-year gap before you are locked into it.

Ask for the renewal price in writing
Introductory-year discounts on per-seat plans are common, and the rate that matters is the one you will pay once the clinic has grown, not the one quoted in the first demo.
Ask whether pricing is per doctor or per active user
Some plans charge for every logged-in staff account, not only doctors, which changes the math again once front-desk and lab roles are added to the system.
Model your headcount two years out, not today's
If the clinic plans to add even one associate in the next two years, price the plan at that headcount before signing, not at the headcount in the room today.
Check whether seat sharing is tolerated
Clinics on tight per-seat budgets sometimes share logins to avoid an extra seat fee, which quietly breaks the audit trail of who did what and when.
Confirm what happens when a doctor leaves
Ask whether an unused seat can be removed mid-cycle or only at renewal, since a locum or a doctor who has left should not keep costing a full seat for months.
