The fix is rarely a stricter policy. It is a reminder that asks the patient a question they can answer in one tap, and a rebooking path that starts the moment they say they cannot come. Most clinic owners know their no-show problem by feel: the 4 PM chair that sat empty, the patient who said "I will come" and never did. Very few can say what the number is, because a paper diary or a spreadsheet does not count the appointments that quietly failed. The first step to reducing no-shows is therefore not a new policy. It is changing what happens between the moment a patient books and the moment they are due to walk in. This post describes a reminder sequence that works for an Indian OPD clinic, and shows how CuraVerto implements each step on WhatsApp today. It explains the mechanics, so you can judge whether they fit how your clinic runs. ## Why a phone call and an SMS both underperform A receptionist calling forty patients the morning of the visit is expensive in staff time and lands on people who are at work or in traffic and do not pick up. Each touchpoint fires at most once per appointment, and the engine has a catch-up window, so a delayed run of the scheduler does not silently skip a patient. A clinic can also define its own sequence, with different timings, in its automation settings. ## What happens when the patient says they cannot come This is the step most reminder tools leave out. A reminder to a wrong number is a silent failure. - Treat the confirmation answer as data. A patient who has not answered by the time of your morning huddle is the one worth a phone call, not all forty. - Watch cancellations and reschedules as a positive signal. A patient who taps reschedule at 8 PM the night before has just given you time to refill the slot. - Keep the message wording plain, in the language your patients actually use, and avoid cramming promotions into a reminder. - Review your own no-show count monthly from your appointment statuses, so you are comparing against your own baseline and not a national average. ## Measuring it: count your own baseline first Before changing anything, take a month of appointments and count how many ended as completed, cancelled or never attended. That is your baseline, and it is the only number that matters for your clinic. After reminders are running, compare the same count for the next month. Look separately at cancellations made in advance, because a rise in advance cancellations alongside a fall in silent no-shows is the pattern you want: the empty slots are the same, but you found out early enough to offer them to someone else.
