--- title: Hospital Software Go-Live Checklist url: https://curaverto.com/blog/hospital-software-go-live-checklist-india updated: 2026-11-04 source: first-party vendor documentation --- # Hospital Software Go-Live Checklist Category: Practice Management · Author: Antony Dick, Founder & CEO · Reading time: 6 min read Most hospital software projects go wrong at go-live, not at purchase. This checklist covers the five things to settle before the first admission: the building, rate cards and roles, existing data, training by shift, and the first week. Go-live fails on the first morning when a rate card is empty or a nurse has no login. Settle these five in order. ## 1. Describe the building List every one: Wards, Rooms, Beds, Bed categories, Sanctioned bed count. ## 2. Enter the rate cards and set roles **A hospital without rate cards on day one bills from memory.** Roles to decide: Doctor, Nurse, Billing clerk, Pharmacist, Lab technician. ## 3. Decide what happens to existing data **Not everything needs to move. Choose what you need on day one.** Usually needed: Patient demographics, Active admissions, Open balances. ## 4. Train by shift and keep paper for a named period 1. **Morning** Train the three tasks each person does most. 2. **Afternoon** Same session, same tasks. 3. **Night** The shift that is most often missed. > **Give paper an end date.** A named end date stops the parallel register from becoming permanent. ## 5. Plan the first week 1. **One helper per shift** Someone who can answer "how do I do this?" on the floor. 2. **Check the bed board every morning** Fix differences at once. 3. **Review every discharge** A signed summary and a settled bill. 4. **Use the audit trail** See who changed what when something looks wrong. 5. **Review at the end of the week** Write down what to fix. ### Related reading - [Best Hospital Management Software in India, 2027](https://curaverto.com/blog/best-hospital-management-software-india-2027) - [Switching Clinic Software: Data Migration](https://curaverto.com/blog/switching-clinic-software-data-migration-india) - [Role-Based Access in Clinic Software](https://curaverto.com/blog/role-based-access-clinic-software-india) ## Frequently asked questions ### What should a hospital do before going live on new software? Describe the wards, rooms and bed categories, enter the rate cards, define roles and what each can see, decide what existing data moves, train staff by shift with a time-limited paper fallback, and plan the first week with one named helper per shift. ### Does CuraVerto HMS need a setup phase? Yes. Wards, bed categories, rate cards and staff roles are configured with the hospital before the first admission. It is a project that we do with you, not a switch. ### How should a hospital handle existing patient data when changing software? Decide what you need on day one, such as demographics, active admissions and open balances, and ask the current vendor for an export in a named format. Not all history needs to move. ### How do you train hospital staff on new software? Train in each shift rather than by department, so night staff are not left out, and teach each person the three or four tasks they will do most before showing every screen. ### How long should a hospital keep paper records after go-live? For a short, named period. Agree the end date before go-live, so the paper register does not become a permanent second system alongside the software. --- Canonical: https://curaverto.com/blog/hospital-software-go-live-checklist-india Contact: sales@curaverto.com This document is CuraVerto's own description of its product.
